Policies
Exhibit Space Assignment:
Exhibitors will be assigned a table location at the sole discretion of MisCon. Every attempt will be made to accommodate exhibitor requests, however, MisCon reserves the right to modify the floor plan to serve the best interests of the convention. Such modifications do not relieve exhibitors of contracted liability. MisCon decisions concerning exhibitor space assignments are final and binding. Table locations will not be assigned until the application and exhibit payment have been received. Payment in full is required at the time of application.
Exhibit Space Use:
Exhibitors will be assigned a 36"x6’ table and its accompanying space, although use of provided tables is not required. Exhibit displays may not be moved beyond the boundaries of the allotted space and may not encroach on any aisles or block or reduce the flow of traffic. Electrical panels, fire extinguishers, hose cabinets, fire exits, or fire alarms cannot be blocked or covered.
Merchants’ Room Hours:
Exhibitors agree to be fully set up by the opening of the Merchants’ Room on Thursday 4pm and to remain set up during all publicly open hours of the Merchants’ Room. Dismantling of booths may not begin before 6:00 pm on Sunday. Exhibitors dismantling early, without approval, will not be accepted at MisCon for a year. Exhibitors must ensure that there is always at least one representative at their table during required merchant hours.
Merchants’ Room Set-up:
Exhibitors will be allowed to set-up on Thursday morning (9am-2pm) before the opening of the convention. Exhibitors wishing to set-up on Wednesday night may do so at their own risk. MisCon is not responsible for property loss. Exhibitors are responsible for their own set-up and tear-down and for arranging any necessary help. MisCon will make every attempt to provide volunteers to assist exhibitors with these functions but cannot guarantee volunteers will be available.
Security:
MisCon security personnel will be present in the Merchants’ Room during the publicly open hours of the Merchants’ Room and will patrol the room after hours. MisCon is not responsible for property loss; exhibitors are encouraged to take reasonable precautions to prevent theft and damages. If an incident occurs, please inform MisCon security personnel immediately.
Membership Badges:
Exhibitors will receive up to two (2) membership badges per table, which will be available in the Merchants’ Room during set-up. Badges must be always worn during the convention. Additional badges can be purchased with your table directly at MisCon registration during the convention.
Weapons Policy:
All exhibitors and attendees are required to follow the MisCon Weapons Policy, which may be found on the MisCon website and in the program. Weapons purchased in the Merchants’ Room must be safely contained or packaged by the seller in such a manner that all edges are covered securely, and the purchaser must remove the purchased weapon from the Merchants’ Room to a safe location (hotel room or vehicle) immediately or have MisCon security personnel peace-bond the weapon.
Cancellation Policy:
- Cancellation by MisCon: If an exhibitor fails to comply with the payment terms as outlined in this application, or fails to adhere to the rules, regulations, and/or policies set forth in this application, MisCon reserves the right to cancel exhibit space without issuance of a refund.
- Cancellation by Exhibitor: All cancellations must be received by May 15th of the convention year to receive a refund. Any cancellations after this date will surrender any claims to a refund.
Electricity Use:
MisCon will provide access to electrical supply upon request. Exhibitors are solely responsible for providing cords and exercising cord safety. Montana State and Local fire codes must be followed at all times or exhibitor will be removed from the Merchants Room immediately and shall not be entitled to a refund. Exhibitor agrees to indemnify MisCon, Missoula County Fairgrounds, their respective agents, and representatives of all damages resulting from use or misuse of electrical supplies.
Vendor Damage Policy:
This Policy sets binding terms for preventing, reporting, and remediating any damage caused by Vendor, Vendor Personnel, or Vendor subcontractors to the Event Venue, Organizer property, attendee property, or third‑party property during the Event, including load‑in and load‑out.
This Policy does not hold Vendor responsible for Damage solely caused by Organizer, Venue, or force majeure events. However, Vendor remains responsible for preventable Damage during adverse condition.
Damage Reporting & Documentation
Immediate Notification: Vendor must report Damage to Organizer’s Site Lead within 30 minutes of occurrence.
Incident Report: Submit written report within 24 hours, including photos, witnesses, time, and description.
Organizer’s Assessment: Organizer will document pre‑Event conditions (photos/video) and post‑Event inspections. Organizer’s reasonable assessment of remedial scope and cost will be provided to Vendor.
Remediation & Payment
Organizer’s Option to Repair: Organizer may perform or contract repairs at market rates without Vendor performing self‑repair, to ensure consistency and speed.
Timeline: Vendor shall pay invoices for Damage within 15 days of receipt.
Security Deposit / Charge Authorization (if applicable): Organizer may apply Vendor’s deposit or charge card on file to Damage costs. Any balance remains due within 15 days.
Failure to Pay: Late payments accrue 1.5% per month (or the maximum allowed by law). Organizer may suspend Vendor’s future participation until paid.
Cthulhu Cash:
Please be aware that people may come to exhibitor tables with Cthulhu Cash. Cthulhu Cash is MisCon credit given to volunteers. MisCon asks that exhibitors honor Cthulhu Cash at its face value, and MisCon will reimburse exhibitors for Cthulhu Cash at the end of the convention. Exhibitors will be provided with an example of Cthulhu Cash at the beginning of the convention. If Cthulhu Cash is presented to an exhibitor which does not resemble the example, it is NOT genuine and should not be accepted.
Accommodations:
All meals, transportation and lodging is at the Exhibitor’s expense and not provided by MisCon. Merchants are not permitted to use the green room.
MisCon Policies:
Exhibitors and attendees must follow all MisCon rules and policies as stated on the MisCon website and in the program. Rude or abusive behavior will not be tolerated.
